Getting started
Do I need to create an account?+
Yes. Vooli stores your data on our servers so it syncs across devices and survives a reinstall. Sign up with an email and a password.
What is the cap?+
The cap is the daily ceiling on your active task list. Three lanes (For Me, For Work, For Them), and you pick 1, 2, or 3 tasks per lane. That is the most active tasks you will ever see at once. Everything else lives in your Stack until there is room.
Can I change the cap later?+
Yes, in Account. Switching from a higher cap to a lower one moves displaced tasks into the queue. Switching up promotes queued tasks back into open slots.
Today
What happens when I complete a task?+
The task strikes through and stays on Today until you wrap your day. The lane slot opens. If a queued task is waiting in that lane, it auto-promotes into the slot.
What is the queue?+
When a lane is full and you pull more from your Stack, the extras wait in the lane’s queue. You can peek at it by tapping the small “queued” chip on the lane header. When any task in that lane completes, the oldest-queued one slides into the open slot automatically.
What does wrap do?+
Tap Wrap to close your day. The app dims into the closed-day state and stops asking for your attention. Tomorrow it opens fresh.
Stack and Arc
Where do tasks go when they do not fit Today?+
Your Stack. Park anything there with a lane tag. Pull into Today when a slot opens. Sort, search, and filter by lane. Long-press to move directly to Today.
What lives in Arc?+
Habits, routines, milestones, and recurring tasks. Arc is the long view: things you are building toward, not the immediate today list.
How do recurring tasks work?+
Recurring tasks fire on the schedule you pick (daily, weekly on a day, monthly on a date). They show up in the Stack on their fire day, ready to pull into a lane slot. Streaks pause when you miss instead of resetting.
Habits and routines
How is a habit different from a recurring task?+
A habit is identity-shaped, something you check in on every day or close to it. Reading, meditating, walking. A recurring task is mundane and scheduled, something that has to happen on a cadence. Paying the rent, taking out the trash.
What is a routine?+
A sequence of steps that fires together at a slot (morning, midday, evening, weekend). Routines walk you through the steps one at a time. Use them for stacks of small actions you want to do as a block.
My streak shows as paused. What happened?+
You missed a check-in. Vooli pauses streaks on misses instead of resetting them. Check in today and the streak picks back up where it left off.
Capture (drop in, drop out)
How do I add many tasks at once?+
Tap the floating add button, then Bulk Add. Paste a list (one item per line). Each line becomes a separate task in the lane you pick. Bullets and numbered prefixes get stripped automatically.
Can I scan a handwritten list?+
Yes. Floating add button → Scan list. Photograph the card or page; Vooli reads each line on-device (no images leave your phone). A review screen lets you edit, drop, or re-lane any row before saving.
What handwriting shortcuts does the scan understand?+
Four conventions, all optional. Write a lane name on its own line and items below it land in that lane. Or prefix a line with “Work: ” to assign just that item. Start a line with “!” or “★” for high priority. End with a date hint (tomorrow / fri / may 22 / 5/22) to set a due date.
Can I add a task without opening Vooli?+
Yes, three ways: the Share Sheet (Safari, Mail, Messages), Siri (“Hey Siri, add to Vooli”), or the Vooli lock-screen / home-screen widget. The share extension saves silently; Siri asks for the task and the lane and confirms when it lands.
Are my scans saved anywhere?+
The captured page photo is saved to your iOS Photos library (if you grant permission). The original scan never goes to our servers. Only the parsed text rows land in your Stack.
Dock Mode
What is Dock Mode?+
Set your phone on its side and Vooli becomes a calm, glanceable card. Landscape-locked, dimmed, always-on while it’s open. Swipe through your lanes and habits like a small dedicated device sitting on your desk. Tap the screen-share icon in Today’s header to open it, or revisit the onboarding’s Dock Mode panel.
Can I pick which pages show in the dock?+
Yes. Inside Dock Mode, tap the settings icon (top- right) to open the Dock Designer. Toggle pages on or off, drag to reorder. Per-device preference.
Does the screen stay on?+
Yes, while Dock Mode is open. After 30 seconds with no touch, brightness dims and the chrome icons fade so the surface reads as “asleep but watchful,” like iOS Always-On Display from the foreground. Tap anywhere to wake it back to full.
Will the always-on display work?+
Vooli’s lock-screen widget shows on iOS Always-On Display (iPhone 14 Pro and later, iOS 16.1+). Add it from the Lock Screen customize panel. Inside the app, Dock Mode itself stays bright (just dimmed). True AOD is a system-level feature only available when the screen is locked.
Does it work on Mac or iPad?+
On Apple Silicon Macs, Vooli is available in the Mac App Store as an “iPhone app on Mac.” Dock Mode runs in a small window you can place anywhere on your desktop. Native iPad support is on the roadmap.
Focus timer
What is the focus timer?+
A simple count-down or count-up timer for distraction- free work. Tap the floating Focus button, pick a duration (or freeform count-up), and optionally tag a lane so the session lands in your Patterns view.
My session ended. Where does the time go?+
All sessions log to focus history. Open Account or the focus log icon to see your sessions, edit a duration, or delete a row.
Notifications
What notifications does Vooli send?+
Notifications fire for recurring tasks and habits at their scheduled times, for routine reminders, and for any automation you build that includes a notify action. You can turn off all notifications in Account or per-category in Notification Settings.
Why am I not getting notifications?+
Confirm notifications are enabled for Vooli in your iOS Settings, and confirm the per-category toggles in Vooli are on. If both are on and notifications still do not arrive, email us.
Account
Where is my data stored?+
Vooli stores account data in Supabase Postgres in a US region. See our Privacy Policy for the full picture.
How do I delete my account?+
Open Account, then Delete Account. The action wipes your profile and all data the same day. There is no undo. We keep a one-way hash of your email for abuse prevention; nothing identifying you remains.
I forgot my password.+
Tap Forgot password on the sign-in screen. A reset link lands in your inbox within a minute. The link expires after an hour.
